Assistant Director, Graduate Admission Events

Bentley UniversityJob Description SummaryThis position will assist the Graduate Admission Department with recruitment and yield programming to Bentley University by planning, executing, and assessing admission events.
Events will include on campus, off campus and virtual programming.
The position will work in collaboration with Admission Coordinator, Director of Marketing and Events and Senior Associate Director to design and execute annual admission events through entire admission cycles.
The Assistant Director will have primary responsibility for project management of events including contracting with outside vendors, representing Graduate Admission at planning meetings and organizing staff and faculty participation.
Essential DutiesThis role will serve as lead for our teams planning events and will report to Senior Associate Director.
Collaborate with leadership teams and faculty on high level strategy for graduate admission events.
Evaluates events using registrant and attendee data, feedback, and surveys to make improvements in reaching strategic goals.
Engages the community and coordinates participation to assist with achieving event goals.
Maintains and leads relationships with external vendors and internal partners for event programming such as conference staff for planning, reservations, equipment needs etc.
Coordinates staffing assignments, secures student workers, and leads pre-event team meetings.
Schedule events in Slate (Bentley's CRM), proofing email triggers, and monitoring registrations.
Work closely with faculty and admission officers to understand their event needs and objectives.
Develop event concepts, themes, and budgets, and create detailed event plans.
Create and manage event budgets, track expenses, and ensure events are delivered within budget.
Plan and execute all aspects of guest experience, including registration, and any special requests or accommodations.
Excellent project management skills to develop and maintain event timelines to ensure all tasks are completed on schedule.
Identify and resolve any issues or challenges that arise during event planning and execution.
Conduct post-event evaluations to assess the success of the event and gather feedback for improvement.
Creativity and the ability to develop unique event concepts.
Proficiency in using software tools to manage and organize event planning.
Other DutiesAssist with engagement activities for event planning such as phone outreach during busy peak periods of admission cycles.
Provide additional assistance with special event programs held by our division or campus partners.
Participate in professional development training opportunities to learn about ways we can continuously enhance our programming.
Minimum QualificationsBachelor's Degree required.
A minimum of 2 years of event management experience; higher education experience preferred.
Skills including organizational and analytical abilities, strong communication, creative thinking, ability to manage multiple tasks and belief in the value of a higher education are expected.
Ability and sensitivity in dealing with diverse populations.
Flexibility to work evenings, weekends and on campus as required.
Work EnvironmentThis position requires evening and weekend work to ensure management and support event programming.
May be required to hold events on campus and virtual formats to attract a broader audience.
Activities may require loading, unloading, and carrying materials, supplies and require standing/walking for long periods of times.
This position may require frequent prolonged periods of screen time for computer work and virtual meetings/events.
